AssetVerify360 asset verification software
AssetVerify360 is our own asset verification platform, built for municipalities and public entities that need verification evidence an auditor will accept. Field teams capture assets on a mobile device, online or offline, and every record carries the proof behind it.
Built out of our own verification work
We did not set out to build software. We were running asset verification projects for municipalities and kept hitting the same wall. Paper count sheets and spreadsheets produce a number, but they do not produce evidence. There is nothing in a typed spreadsheet to show that the person who signed it stood in front of the asset, on that date, and found it in that condition.
AssetVerify360 was built to close that gap, and it is still the platform we use on our own engagements. Municipalities and public entities now licence it directly.
What it does
Mobile field capture
Verification teams work from a phone or tablet, capturing each asset where it stands instead of writing it down and typing it up later.
Barcode and QR scanning
Assets are identified by scan rather than by description, which removes most of the matching errors that make registers hard to reconcile.
Photo and GPS evidence
Each verification carries a photograph and a location, timestamped, so existence can be demonstrated rather than asserted.
Condition assessment
Condition is recorded in the field, which feeds remaining useful life assessment and impairment indicators instead of being estimated from a desk.
Offline mode
Verification continues where there is no signal, which matters for infrastructure and outlying facilities, and syncs when the device is back online.
Audit trail and reporting
A record of who verified what and when, with exception reporting and progress tracking for the project as a whole.
Why it matters at audit
Property, plant and equipment findings usually come down to completeness and existence. Both are evidence questions. A register that has been verified through AssetVerify360 can answer them directly, asset by asset, with the photograph, the location and the verifier attached to each record.
It also changes how exceptions get handled. Assets on the register that cannot be found, and assets found that are not on the register, are flagged as they arise and worked through during the project rather than appearing as a list of unexplained differences at the end of it.
How municipalities use it
Some municipalities licence the platform and run verification with their own staff, which works well where there is internal capacity and the main need is evidence and control. Others appoint us to run the verification as part of a fixed asset register engagement, with the platform included. A number start with the second and move to the first once their register is in order and the annual count becomes routine.
Either way, the verified data is written back into the asset register and reconciled to the general ledger, which is the point of the exercise.
See it for yourself
The platform is at far.partnersca.co.za. We would rather show you a working demonstration against a sample of your own asset data than send a brochure, so if this is relevant to your next verification cycle, get in touch and we will set that up.
Frequently asked questions
Does AssetVerify360 work without an internet connection?
Yes. Verification can be done entirely offline and the data syncs once the device has a connection again. That is deliberate, because a large share of municipal assets sit outside reliable network coverage.
Can it work with our existing asset register?
Yes. The register is loaded into the platform, verification runs against it, and the verified data is used to update it. We handle the import and the reconciliation back to the ledger as part of setting it up.
Do we need to barcode our assets first?
Barcoding gives the best results and we normally recommend it, but it is not a precondition. Assets can be identified and captured without a barcode, and barcoding can be done as part of the first verification cycle.
Is our asset data kept separate from other clients?
Yes. Each organisation's data is separated, with role based access so that users only see what they are entitled to see, and the activity log records who did what.
Can we licence the software without appointing you for the verification?
Yes. The platform is licensed separately from our advisory work. Some municipalities licence it and run verification with their own teams. We are happy either way and will say so honestly if we think you have the internal capacity to run it yourselves.
