360DebtorsPro debtors impairment software

360DebtorsPro is our debtors impairment platform for municipalities. It takes your billing data through a controlled expected credit loss calculation under GRAP 104 and GRAP 108, and produces the working paper, the disclosure notes and the supporting evidence from the same run.

Why a spreadsheet stops being enough

Debtors impairment used to be a schedule at the back of the file. Under the revised GRAP 104 it is a model, and models carry obligations that spreadsheets handle badly. The calculation has to be re-performable. The assumptions have to be traceable to a source and a date. The disclosure note has to agree to the calculation that produced it. And when something changes, it has to be clear what changed, who changed it and when.

In a spreadsheet, all of that depends on somebody being disciplined every single time. We built 360DebtorsPro so it does not.

What it gives you

A controlled calculation

The expected credit loss runs through a defined process rather than a chain of linked workbooks, so the same inputs always produce the same answer.

One source for every output

The working paper, the accounting policy and the AFS disclosure notes are generated from the run itself, so the policy cannot describe one method while the calculation uses another.

Evidence built in

Assumptions, their sources and their vintage are captured as part of the run, along with a record of who did what and when.

Re-performable output

The auditor gets an extract at account level and a workbook with live formulas, so the figures can be tested directly instead of taken on trust.

GRAP 104 and 108 handled separately

Consumer debtors and statutory receivables are treated on their own bases, which is one of the more common places manual models go wrong.

Transition support

First time adoption is handled as part of the process, including the opening allowance and the reconciliation back to the previous basis.

Who it is for

Municipalities carrying a large consumer debtors book where the impairment allowance is material to the balance sheet, and where the allowance has drawn audit attention before. It is also useful for municipal entities and for firms preparing statements on behalf of municipalities.

It is not a billing system and it does not replace one. It sits downstream of your billing data and does one job properly.

Software on its own, or with the modelling

Most municipalities start with a full impairment engagement, where we do the modelling, agree the segmentation and methodology with you and the auditors, and deliver the disclosure pack. The platform runs underneath that engagement.

Once the methodology is settled and the data is clean, some municipalities move to running it themselves each year with us reviewing the output. That is usually the cheaper long term arrangement and we will tell you when you are ready for it.

Talk to us about a demonstration

We do not publish a feature list or a price list for this, and there is a reason. The value is in the methodology and the evidence model behind it, and those are best explained against your own numbers. If debtors impairment is on your risk register for this reporting cycle, get in touch and we will run a demonstration using a sample of your data.

Frequently asked questions

Is 360DebtorsPro a billing system?

No. It does not bill, receipt or manage accounts. It takes billing and receipting data that already exists and produces the impairment calculation, working paper and disclosure from it.

Will our auditors accept output from a system they do not know?

In our experience yes, because what they receive is not a black box. They get the methodology, the assumptions with their sources, and output in a form they can re-perform themselves. Auditors object to numbers they cannot test, not to the tool that produced them.

Can it handle the first year of applying the revised GRAP 104?

Yes. First time adoption is part of the process, including the recalculated opening allowance, the reconciliation to the previous basis and the transition adjustment, together with the disclosure that goes with it.

What data does it need?

Account level billing and receipting history over a sufficient period, the age analysis, the indigent register and write off history. We assess whether the extract is complete before anything is modelled, because an incomplete extract undermines everything downstream.

Can we licence it without using your advisory services?

We prefer to run the first cycle with you, because the methodology and segmentation decisions matter more than the software and they need to be agreed with your auditors. After that, licensing it and running it yourselves is a normal arrangement.
